About the Role:

Reporting to the Administration Manager, this role offers flexible working hours, 20 hours per week. You are well organised and enjoy working in a down to earth environment whilst maintaining professional standards. In this role you will undertake a wide range of administrative duties associated with the performance of the Contract, including coordinating day to day workflow, handling queries, maintaining and updating systems to ensure accurate up to date service data is available at all times

Key responsibilities:

  • Answering and logging service call requests within contract deadlines
  • Creating purchase orders and receipting of supplier invoices
  • Schedule and coordinate site-based service technicians and subcontractors
  • Timesheet processing for service technicians
  • General administration and assisting with monthly reporting
  • Processing of inbound and outbound correspondence in a timely manner
  • Assisting other team members when and where required
  • Contribute to creating a professional, positive, friendly and supportive environment
  • Must work Monday to support workload.

Key Skills and Attributes:

You will provide first class service to all the client, staff and visitors you encounter. Previous service administration experience, ideally with a background in the Facility or Maintenance Services Industry would be preferable.

  • Computerised Service Maintenance Systems knowledge and experience (Pronto and/or BIEMS would be an advantage).
  • At least 2 years experience in office administration with an aptitude to learn and use new systems.
  • Proficient in Microsoft Word, Excel and Outlook.
  • Great data entry skills with a high attention to detail and 100% accuracy.
  • Reliable, responsible trustworthy and an excellent communicator.
  • Approachable, organised and can juggle multiple tasks.
